About your Team :
Change and Operational Resilience
Our department is split into two teams: Change Management and Operational Resilience.
The Change Management team provides Project Management capacities to run large Business and Regulatory Projects within FIL Fondsbank GmbH (FFB). This also includes NPP process and documentation in case of new products. We manage the Change Portfolio including monthly Senior Management Reporting, we define the Change Management Framework and Standards and we run the Change Management Governance Meetings.
The Team Operational Resilience ensures that written procedures and process documentation comply with regulatory requirements. We provide 1st Line Risk Management Support and Training as well as Business Continuity Management Support for our business.
Aufgaben
As a Project Management Officer you will support the Head of Change with oversight and control responsibilities and with standardized Senior Management Reporting on the FFB Change Portfolio. You will support the annual review of the Change Management Framework and develop and maintain standardized Change Management templates and procedures. Your role will also include updates of the Change Management SharePoint to ensure proper communication and access to our tools and standards.
A second part of your role will be the support of the Programme & Project Managers. You will join large business and/or regulatory projects and assist with Project Plan as well as with Risk & Issue updates. This will allow you to get more insights into our projects and learn from experienced Project Managers.
Responsibilities :
- Support the Head of Change with oversight & control responsibilities
Develop and maintain monthly cost control reporting (overall change budget)
- Ensure monthly Project updates are provided by the PMs
- Manage the monthly Change Portfolio Reporting
- Support Change Governance Meetings with preparation and minutes
- Manage the Change Management Sharepoint
Update content and post relevant news
- User Access Management
- Maintain the Change Management Framework
Annual review of procedures and templates
- Develop new templates upon request
- Support the Programme & Project Managers within large business and / or regulatory projects
Request and manage project plan updates
- Support Risk Workshops with documentation of risks
- Request and manage updates of project RAAIDD logs (Risks, Action, Assumptions, Issues, Dependencies, Decisions).
Profil / Ihre Qualifikation / Ihre Persönlichkeit:
You will be the perfect fit for this new role in our Change Management team if you have strong organisational skills, work very accurate to ensure we have oversight and control on change portfolio & budget and communicate well. Since we are managing projects within financial markets it would be of help if you have working experience in this segment.
- A minimum of 2-3 years of professional experience in Project Management Office role / Business Management role / Personal Assistant role or equivalent
- A professional banking qualification or experience in financial markets would be appreciated
- Strong organisational skills
- You like to be accurate and communicate well
- Extensive knowledge of MS Powerpoint, Excel and Word as well as MS SharePoint
- Fluent German and English language skills
